Cancellations

SubscriptionFlow handles cancellations customer-first by default — access runs to the end of the paid period — while still giving admins full control.

What this does

A cancellation stops a subscription from renewing. SubscriptionFlow supports two styles:

  • Cancel at period end (recommended) — the subscription won’t renew, but the customer keeps access until the term they already paid for ends. The status becomes Pending Cancellation until then.
  • Immediate — access ends now (via Expire Now or Revoke on the admin side).

Why it exists: cancelling shouldn’t feel punishing. “At period end” honors what the customer paid for and reduces refund requests and complaints.

Letting customers cancel themselves

Step 1 — Enable it on the product. Open the product → Subscriptions Settings tab → tick Allow Cancellation. (Pro)

Step 2 — Customers cancel from the dashboard. On their customer dashboard, customers get a cancel option. Their subscription becomes Pending Cancellation, and they keep access until the period ends.

Cancelling as an admin

From SubscriptionFlow → Licenses, open the license and use the lifecycle actions:

Action Effect
Cancel at Period End No future renewals; access until the paid period ends (Pending Cancellation).
Expire Now Ends access immediately.
Revoke Terminates the license and releases all its sites (use for abuse/refunds).
Reactivate Reverses a cancellation/expiry if the customer changes their mind.

See Licenses for the full screen.

Tips & Best Practices

  • Prefer “Cancel at Period End”. It’s the fairest option and prevents “I paid for the month!” complaints.

  • Enable self‑service cancellation (Pro) to reduce support load — customers can handle it themselves.

  • Use “Reactivate” for win‑backs. If a customer returns, you can restore their subscription without a new purchase.

  • Reserve “Revoke” for serious cases like abuse or a full refund — it releases all activated sites.

Frequently Asked Questions

Can customers cancel on the Free plan?

Self‑service cancellation is a Pro feature. On Free, an admin cancels from the Licenses page.

Does cancelling remove access immediately?

Not with “Cancel at Period End” — access continues until the paid term ends. “Expire Now” and “Revoke” end access immediately.

What’s the difference between Cancel, Expire, and Revoke?

Cancel at Period End stops renewals but keeps access until the period ends. Expire Now ends access now. Revoke terminates and frees all sites.

Will cancelling refund the customer?

No — cancelling stops renewals. Refunds are handled separately (use the license Full Refund action plus your gateway refund).

Can a cancelled subscription be restored?

Yes — use Reactivate on the license before it’s fully revoked/expired.

Does cancelling delete the customer’s data?

No. The subscription and license records remain for your history and audit log.
